This Privacy Policy explains how McMillian Media LLC ("we," "us," or "our") collects, uses, shares, and protects information in connection with The Playbook (the "Platform"). By using the Platform, you agree to the practices described here. If you do not agree, please do not use the Platform.

1. Information We Collect

Information you provide directly:

  • Account information: name, email address, password (stored securely via Supabase Auth)
  • Profile information: pre-MBA industry, target industry, target role, LinkedIn URL
  • Career documents: resume text, case studies, performance reviews, and other materials you upload to your Vault
  • Job postings: URLs or text you submit for analysis
  • Waitlist information: email address and preferences you provide when joining the beta waitlist

Information collected automatically:

  • Usage data: pages visited, features used, actions taken within the Platform (via PostHog analytics)
  • Device and browser information: browser type, operating system, IP address
  • Log data: timestamps, error logs, and performance data

2. How We Use Your Information

We use your information to:

  • Provide, operate, and improve the The Playbook platform
  • Generate AI-powered career content personalized to your background and target roles
  • Send transactional emails (account confirmations, password resets, feature updates)
  • Analyze usage patterns to improve product features and user experience
  • Enforce our Terms of Service and prevent abuse
  • Comply with legal obligations

We do not use your career documents, resume, or personal data to train AI models, and we do not sell your personal information to third parties.

3. AI Processing

When you submit a job posting URL or description, your input is sent to Anthropic's Claude API for AI analysis. Anthropic processes this data in accordance with their Privacy Policy. Your uploaded career documents (resume, vault content) are also included in AI requests to personalize your results. Do not upload documents containing sensitive personal data beyond what is needed for career purposes.

All AI-generated content is labeled with an AI disclosure indicator on the Platform. Generated content may contain inaccuracies and should be verified before use.

4. Information Sharing

We share your information only in the following circumstances:

  • Service providers: We use Supabase (database and authentication), Anthropic (AI generation), PostHog (analytics), and email delivery providers. These providers access your data only as needed to provide their services to us.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority.
  • Business transfers: If McMillian Media LLC is acquired or merges with another company, your data may be transferred as part of that transaction. We will notify you before this occurs.
  • With your consent: We may share information for any other purpose with your explicit consent.

We do not sell, rent, or trade your personal information to any third party for their marketing purposes.

5. Data Retention

We retain your account data and career documents for as long as your account is active. If you delete your account, we will delete your personal data and career documents within 30 days, except where we are required to retain it by law or for legitimate business purposes (such as fraud prevention or dispute resolution). Anonymized, aggregated analytics data may be retained indefinitely.

6. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your account and associated data (available in Settings)
  • Portability: Request your data in a machine-readable format
  • Opt-out of analytics: Contact us to opt out of usage analytics

California residents: Under CCPA, you have the right to know what personal information we collect, the right to delete it, and the right to opt out of its sale (we do not sell personal information). To exercise these rights, email us at hello@buildmyplaybook.app.

EEA/UK residents: You may have rights under GDPR including the right to object to processing, restriction of processing, and the right to lodge a complaint with your supervisory authority.

7. Data Security

We implement industry-standard security measures to protect your data, including encrypted data transmission (TLS), row-level security on our database, and access controls. However, no method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at hello@buildmyplaybook.app.

8. Children's Privacy

The Playbook is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice on the Platform at least 14 days before the changes take effect. Your continued use of the Platform after the effective date constitutes acceptance of the updated Policy.
